Chapter 6 On Air Rooms

To Start On Air

To start on air, there are two options below:

(1) Click “ON AIR” (Gray out), Help_en_ch 003

(2) Click “Start On AIr” on Panel (at the top right of the screen in the Room)

Note 1: Both Admins and Members can start on air.

Note 2: When the Room is on air, notifications will be sent to your group members who signed up VoiceLink.

To close on air Rooms

To close on air, there are two options below:

(1) Click “ON AIR” (Red), Help_en_ch 004

(2) Click “Close On Air” on Panel (at the top right of the screen in the Room).

Note 1: Both Admins and Members can close on air.

Note 2: On air Room will be automatically closed when there is no one in the Speakers’ Area for over 5 minutes.

Note 3: On air Room has its time limit (Max. 3 hours).

To schedule the next on air Room

Admins and Members can schedule the next on air Room by clicking “Schedule”  on Room Details.

Note 1: Re-scheduling is available. And so is deletion of the schedule.

Note 2: Currently, only one scheduling is available.

To Enter the on air Room

When “ON AIR” is displayed on Roomlist, click to enter the on air Room.

You can enter the on air Room via “Enter” on the Room Details as well.

Note: If you want to join the conversation as a Speaker, you need to join the Group on Facebook.

Roles of Users (Speaker, Member Listener, Guest Listener)

(1) Speaker:

-can talk in the Speakers’ Area

-Admins and Members of the Room are able to become Speaker.

(2) Member Listener:

-can listened to the conversation outside of the Speakers’ Area.

– Admins and Members of the Room are able to become Member Listener.

(3) Guest Listener:

-can listen to the conversation in the Public Room.

(not allowed to join the conversation or post on the chat)

Note: To become Speaker or Member Listener, it is required to join the associated Group on Facebook.

Microphone Settings

-VoiceLink adopts Echo Canceller functionality to talk on the on air Room, you do not have to plug in the earphones with mic.

Note1: If you have echo and howling in the conversation, please have  earphones (or earphones with mic) to keep a comfortable environment.

Note2: Please set up volume via your mobiles when to use VoiceLink. If you want to adjust volume in the on air Room, please check out “Volume” on Panel at the top right of the screen in the Room.

Note3: When to enter the on air Room, please click “OK” on the dialog (“VoiceLink would like to access the Microphone”).

My Media

-My Media is a window presentation tool on VoiceLink, which can be controlled by the Speakers. It allows you to show images and videos you arranged.

-When the Speakers play videos on My Media, the scene will be automatically synchronized between all of the Room attendees, even if Guest Listners entered into the Room during watching the video on the My Media.

-Uploading images and playing videos are only authorized to the Speakers.

Edit My Media

To edit photos and videos on My Media:
(1) Drawer Menu(at the top left of the Roomlist) → “Edit My Media”
(2) Panel (at the top right of the Room)→ “My Media”

Save Photos on My Media

To save photos on My Media, click “+” button at the bottom right of My Media:

(1) “Take Photo”

(2) “Choose from album”

Note 1: If you make use of “Take Photo”, please allow the access to the camera. If not, both “Take Photo” and “Choose from album” will not be available. To solve this issue, refer to the following sequence;

・Settings (OS) → VoiceLink → Camera

Note 2: If you make use of “Take Photo” while talking in the Speakers’ Area, there is a case in which a snap sound on device causes some noises in the on air Room. It takes a few seconds to get back to normal,

Save Videos on My Media

To save videos on My Media, choose “Movies” tab and click “+” button at the bottom right of the screen:

(1) Search all; search and save the video you choose via Youtube

(2) Your video; if you sign in Youtube via VoiceLink, you can make use of “Liked Videos” and “Uploads” on My Media.

Note: there is a case in which some videos are not available on VoiceLink due to the Privacy settings, Accessibility settings and Account settings etc.

My Media Window

-Sharing photos:

(1) To view full screen, click the window

(2) “x” button at the top left of the window;

“Hide my window”; it allows you to hide your window solely. The other users stay watching the shared contents on their window.

“Close the shared media”; it allows you to close all the shared windows in the on air Room.

-Sharing videos:

(1) “x” button at the top left of the window;

“Hide my window”; it allows you to hide your window solely. The other users stay watching the shared contents on their window.

“Close the shared media”; it allows you to close all the shared windows in the on air Room.

(2) “⇝” button at the top right of the window; it allows you to share the video playing on My Media.

Note 1: “Close the shared media” is available only when you are in the Speakers’ Area.

Note 2: the other functionalities on My Media are similar to those on Youtube.

“Dictate” functionality [iOS]

This functionality allows you to dictate what you speak in the on air Room, pasting the texts dictated on Chat.

(1) Click “Panel” at the top right,

(2) Click “Dictate”,

(3) Allow dictation on the dialog.

Note1: To disactivate, click “Dictate” on Panel again.

Note2: “Dictate” functionality is available on iOS 10 and later. Incompatible with iOS 9.

Note3: “Dictate” functionality corresponds to the language which you set up in the OS “Settings” (“General” → “Language & Region”).

E.g. OS Language; English

The parts which the Speaker talked in “Spanish” are not dictated.

Note4; Please note that dictated texts may not be consistent with what you said in the on air Rooms, word-for-word.

Causes of Noises

If you have noises in the on air Room, please check out your conditions below:

(1) Opening other sound streaming contents → Close the other sound streaming contents.

(2) The air-conditioner wind is hitting the smartphone → Keep your smartphone from being hit by the air-conditioner wind.

(3) Not using earphones with mic → Make use of earphones with mic.

(4) taking photos (including screenshots) while talking in the Speakers’ Area, there is a case in which a snap sound on device causes some noises in the on air Room → It takes a few seconds to get back to normal. If not, re-enter the on air Room or restart VoiceLink.

Note: if there is a case in which the sound quality does not get back to normal, please re-enter the on air Room or restart VoiceLink.
